Scheduling a new campaign

Administrators can launch new campaigns from an existing campaign template or by creating a new template and then launching it immediately.

Campaigns have three associated dates:

  • Campaign start date: The date and time the campaign will start. This is the date the campaign welcome emails will be sent to users, if enabled.

  • Training due date for learners: The learner completion deadline. This is the date the overdue reminder will be sent to users, if enabled.

  • Campaign End Date: After this date, learners will no longer have access to the training content.

You can also set the applicable time zone for the campaign dates.

Note

Campaign start date must be at least one hour after the current time.

After the campaign has been launched, you cannot modify the Campaign start date. While you can modify the Training due date for learners and the Campaign end date, there should be no reason to do this, nor is it recommended.

You should leave enough time between the Training due date for learners and the Campaign end date so that managers can monitor completion status through a user report and follow up with users to ensure the training is complete. The amount of time may vary depending on the length of time the campaign. The length of time should take in to account the number and length of modules being assigned.

Overlapping campaign dates

Care should be taken when choosing dates and times for campaigns. If campaign dates overlap and a learner is assigned the same modules in multiple campaigns, the user will only have to complete the module once. For example, if a learner is assigned campaign ‘A’ and campaign ‘B’ and both campaigns contain a duplicate module, the user will only have to take the module (and pass the quiz, if applicable) in whichever campaign they complete first. When they take the second campaign, when they get to overlapping modules, they will be marked as complete and passed.

To schedule a campaign from an existing campaign template:
  1. Go to Campaigns from the Navigation Menu.

  2. Click New Training Campaign.

  3. From the Select a template dropdown menu, choose the campaign template you wish to edit under the Your Templates section.

  4. Give the campaign name a name that is meaningful to end users. You may wish to include additional identification information (such as the year, group assigned to name or other information). The campaign name should be unique so that it is easily identifiable should you need to create additional reports or remediation events. To set the campaign name, select the pencil icon next to the campaign name. The default name is New Campaign.

  5. Select the Campaign start date and time, Training due date for learners and time, and the Campaign End Date and time. You must select OK for each to save the selected date and time.

  6. Add or modify the Welcome/Introduction Message that will appear with the training assignment in the Learner App.

  7. Assign Learners by selecting the assignment method (mapped department or title unique values) from the Add a group dropdown menu.

  8. Select the appropriate positions (title) or departments from the Choose position(s) dropdown menu.

  9. Select which email templates you wish to enable.

    Note

    You can view and modify the content these templates use by visiting Notifications. See Preferences - Branding and notification customization.

  10. Click Launch Campaign Now or select Save for later if you wish to safe the campaign as a draft.

To create a new campaign template and schedule the campaign:
  1. Go to Campaigns from the Navigation Menu.

  2. Click New Training Campaign.

  3. Click Create a new template.

  4. Select the tab for the type of module you would like to preview.

  5. Select the modules that you would like to include in the new template. You can deselect modules by clicking on them a second time.

  6. Give your template a name that is meaningful to your administrators by entering it in the Template Name field.

    Note

    The template name will only be seen and used by administrators. The name should be meaningful to them. It may encompass a description of the content, when it should be assigned, the order, and so on.

  7. Scroll down the page and click Save Template.

    You will receive a confirmation that the template has been saved.

    If you wish to change the order of the modules, you can click and hold the six dots to the right of the module information and drag and drop the module to a different location in the order of modules.

  8. Give the campaign name a name that is meaningful to end users. You may wish to include additional identification information (such as the year, group assigned to name or other information). The campaign name should be unique so that it is easily identifiable should you need to create additional reports or remediation events.
