Configuring hotel management settings

Configuring hotel management settings

Hotel Management > Setting lets you configure the FortiVoice phone system to interoperate with your PMS, set the room condition codes, and configure guest check-in and check-out actions.

Complete the configuration of your PMS and then configure the hotel management settings on the FortiVoice phone system.

This section covers the PMS protocols, data synchronization, check-in and check-out options, and minibar codes:

Configuring hotel management settings for the FortiVoice protocol

  1. Go to Hotel Management > Setting > PMS.
  2. Configure the following:

    GUI field

    Description

    Enabled

    Select to activate the communication with the PMS.

    Protocol

    Select FortiVoice. The FortiVoice phone system will use this protocol to communicate with the PMS.

    Port

    Enter the port number that connects to the PMS.

    Note that you need to use an adapter for the FortiVoice-PMS connection. From the port you configured, connect the PMS serial cable to the adapter and then connect the RJ45 cable from the FortiVoice phone system to the adapter.

    Network Setting

    Enter the IP address and netmask of the PMS. If the PMS uses serial connection to an adapter, enter the IP address and netmask of the adapter.

    If you have multiple PMSes, you may enter multiple trusted hosts.

  3. Click Apply.

Configuring hotel management settings for the Micros protocol

  1. Go to Hotel Management > Setting > PMS.
  2. Configure the following:

    GUI field

    Description

    Enabled

    Select to activate the communication with the PMS.

    Protocol

    Select Micros. The FortiVoice phone system will use this protocol to communicate with the PMS.

    Serial connection

    Select to connect to the PMS using a serial cable.

    LRC

    Select to perform longitudinal redundancy check (LRC).

    Mode

    Choose to use the FortiVoice phone system as Server or Client when connecting to the PMS.

    If it is used as client, enter the server IP address in the Server field.

    Port

    Enter the port number that connects to the PMS.

    Note that you need to use an adapter for the FortiVoice-PMS connection. From the port you configured, connect the PMS serial cable to the adapter and then connect the RJ45 cable from the FortiVoice phone system to the adapter.

    Call billing

    Select to activate call billing.

    Enable link establishment

    If your PMS device needs the link establishment to exchange data with the FortiVoice phone system, select to activate this function.

    Network Setting

    Enter the IP address and netmask of the PMS. If the PMS uses serial connection to an adapter, enter the IP address and netmask of the adapter.

    If you have multiple PMSes, you may enter multiple trusted hosts.

  3. Click Apply.
  4. For details about Data Sync, see Performing a manual data synchronization with the PMS.

Configuring hotel management settings for the Comtrol protocol

  1. Go to Hotel Management > Setting > PMS.
  2. Configure the following:

    GUI field

    Description

    Enabled

    Select to activate the communication with the PMS.

    Protocol

    Select Comtrol. The FortiVoice phone system will use this protocol to communicate with the PMS.

    Mode

    Choose to use the FortiVoice phone system as Server or Client when connecting to the PMS.

    If it is used as client, enter the server IP address in the Server field.

    Port

    Enter the port number that connects to the PMS.

    Note that you need to use an adapter for the FortiVoice-PMS connection. From the port you configured, connect the PMS serial cable to the adapter and then connect the RJ45 cable from the FortiVoice phone system to the adapter.

    Call billing

    This option is only available for Micros and Comtrol protocols.

    Select to activate call billing.

    Network Setting

Configuring hotel management settings for the Opera Cloud protocol

The Oracle Hospitality Integration Platform (OHIP) uses the Opera Cloud protocol.

Prerequisites

Register an application in Opera Cloud using the Oracle Developer Portal and add an environment. This application acts as middleware to allow FortiVoice and the Opera Cloud server to communicate with each other. To configure hotel management settings for the Opera Cloud protocol

  1. Go to Hotel Management > Setting > PMS.
  2. Configure the following:

    GUI field

    Description

    Enabled

    Select to activate the communication with the PMS.

    Protocol

    Select Opera Cloud.The FortiVoice phone system will use this protocol to communicate with the PMS.

    URL

    Enter the URL of the API gateway for the user acceptance testing (UAT) or production (PROD).

    Client ID

    Enter the client ID that you copied from the Opera Cloud Developer Portal for the UAT or PROD.

    Client secret

    Enter the client secret that you copied from the Opera Cloud Developer Portal for the UAT or PROD.

    Interface ID

    Enter the integration username that you copied from the UAT or PROD.

    Interface key

    Enter the integration password that you copied from the UAT or PROD.

    Hotel ID

    Enter the hotel ID on which you want to perform actions. For example, obtaining reservation data.

    App key

    Enter the application key that you copied from the Opera Cloud Developer Portal for the UAT or PROD.

    Data Monitoring

    Periodic sync status

    Select to activate the periodic data synchronization with the Opera Cloud PMS.

    Data sync interval

    Set a time interval in minutes to synchronize the data with the Opera Cloud PMS.

  3. Click Apply.
  4. For details about Data Sync, see Performing a manual data synchronization with the PMS.

Performing a manual data synchronization with the PMS

Note

This function is available when the Protocol setting is Comtrol, Micros, or Opera Cloud.

  1. Go to Hotel Management > Setting > PMS.
  2. Review the following:
    Caution

    If you need to perform a manual data synchronization, Fortinet recommends that you perform this action at off-hours because all related operations, such as check-ins and check-outs, are suspended during a data synchronization.

    Data Sync

    To perform an on-demand data synchronization, click this button.

  3. When the synchronization is complete, the section shows completion details, such as in the following example:

  1. Go to Hotel Management > Setting > Option.
  2. Configure the following:

    GUI field

    Check In Action

    Reset

    Set the guest information and room condition to make a room check-in ready.

    • Privilege: Select to enable phone call restriction (internal, local, or long distance) and user privilege (option 1, 2, 3) for the room.
      If you choose this option, select a Privilege for the room user. For information about setting user privileges, see Configuring user privileges.
    • Guest name: Select to display room number or guest name on the room extension. In the Name field, enter %%NUMBER%% or %%NAME%%.
    • Room condition: Select to clear any condition set for the room.

    Check Out Action

    Reset

    Set the guest information and room condition to make a room check-out ready.

    • Privilege: Select to enable phone call restriction (internal, local, or long distance) and user privilege (option 1, 2, 3) for the room.
      If you choose this option, select a Privilege for the room user. For information about setting user privileges, see Configuring user privileges.
    • Guest name: Select to display room number or guest name on the room extension. In the Name field, enter %%NUMBER%% or %%NAME%%.
    • Room condition: Select to clear any condition set for the room.
    • Voicemail: Select to clear all voicemails for the room extension.
    • Wake-up call: Select to clear all wakeup call setups for the room extension.

    Advanced

    Choose the order for room maids to request for room item by phone. You can choose to dial the item code or number first.

    For example, if you choose to dial code first and want to request for two beers (code 1) and three waters (code 2), you can dial 1*2*2*3.

  3. Click Apply.

Configuring minibar codes for room maids to order room items

  1. Go to Hotel Management > Setting > Minibar Code.
  2. Click New.
  3. Enter the item name, for example, Beer.
  4. Enter the item code, for example, 5.
  5. Click Create.

    A room maid can dial the code to order things needed for the room using the room phone. For more information, see Advanced.

Hotel Management > Setting lets you configure the FortiVoice phone system to interoperate with your PMS, set the room condition codes, and configure guest check-in and check-out actions.

Complete the configuration of your PMS and then configure the hotel management settings on the FortiVoice phone system.

This section covers the PMS protocols, data synchronization, check-in and check-out options, and minibar codes:

  1. Go to Hotel Management > Setting > PMS.
  2. Configure the following:

    Port

    Enter the port number that connects to the PMS.

    Serial connection

    Select to connect to the PMS using a serial cable.

    LRC

Configuring hotel management settings for the Comtrol protocol

  1. Go to Hotel Management > Setting > PMS.
  2. Configure the following:

    Select Comtrol. The FortiVoice phone system will use this protocol to communicate with the PMS.

    Mode

Configuring hotel management settings for the Opera Cloud protocol

The Oracle Hospitality Integration Platform (OHIP) uses the Opera Cloud protocol.

Prerequisites

This application acts as middleware to allow FortiVoice and the Opera Cloud server to communicate with each other.   2. Configure the following:

Note

  1. Go to Hotel Management > Setting > Minibar Code.
  2. Click New.
  3. Enter the item name, for example, Beer.
